This role is responsible for managing a high volume of personal injury and workers' compensation cases from intake through settlement or litigation. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and is committed to delivering excellent client service while supporting attorneys in all phases of case development.

Key Responsibilities:

Client Intake & Case Screening

  • Conduct detailed intake interviews to assess case viability and gather relevant accident, injury, and insurance details.
  • Enter accurate and comprehensive data into the firm's CRM and case management systems.
  • Explain the intake and retainer process clearly, address client questions, and follow up on unsigned agreements.
  • Open insurance claims on behalf of clients and track liability determinations with adjusters.
  • Notify relevant departments once a case is retained to ensure smooth internal handoffs.

Case Management & Client Support

  • Serve as the primary point of contact for clients after intake, providing regular case updates and addressing questions or concerns.
  • Guide clients through the legal process, from medical treatment coordination to settlement discussions.
  • Maintain ongoing communication with clients, medical providers, insurance adjusters, and other involved parties.
  • Track medical treatment progress, gather records and bills, and ensure proper documentation is obtained.
  • Request, review, and organize medical records, bills, and other supporting documents for case development.
  • Ensure clients understand their obligations and deadlines; follow up consistently for missing documents or information.

File Review & Workflow Coordination

  • Participate in regular case reviews with attorneys to assess case status and outline next steps.
  • Monitor and manage workflow of active cases, ensuring milestones are met and cases progress efficiently.
  • Escalate legal or factual issues to attorneys for review and resolution.

Qualifications

  • 2–5 years of experience in personal injury or workers’ compensation case management and/or paralegal work.

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and legal case management software (e.g., CasePeer, Clio, Needles).
  • Excellent organizational and time management skills; able to manage multiple priorities under pressure.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to work independently while also contributing as a collaborative team member.
  • High level of professionalism and discretion when handling confidential information.
  • Ability to thrive in a fast-paced, high-volume, startup-like environment.
  • Bilingual (Spanish/English) is a strong plus.
